What can you do in Workspace

In workspace you can view all the versions of pages/content on your entire site, not just one page.  You can choose to view draft or archived versions and any valid workspace (or any combination of these).   You can also view the differences in these versions.

Workspace Module - Live Workspace

Note if there are a lot of versions in your workspace(s), the resulting table will be paginated.  Directly below top tabbed panels in the above illustration is "Showing 1 to 11 versions:".  If the versions are paginated it would show something like the following where the numbers ([1] [2] [3]) are clickable and advance the results.

  1. What version to display - Drafts, Archive or All
  2. What workspaces to display - [Live Workspace], Draft Workspaces, All workspaces, [Draft Workspace], any custom workspaces you have.   What is the difference between "Draft Workspaces" and "[Draft Workspace]"?  Got me, it's one of the things I can't find any information about.
  3. What the differences are - Do not show any differences, Show differences Inline, Show diff. popups (branches).  The show differences inline is pretty clear (and illustrated here).  I've no clue what the "Show diff. popups (branches) means or at least I've not found the meaning thus far.
  4. One thing that is handy even if you do not use the Workspace module for the versioning is that  the module shows you the path to the Creighton home page.  
  5. The current live version.  You can click on the title to go to the Display Versions for that element.
  6. Workspace version.  Clicking on title will take you to a details page (versioning module).
  7.  Stage, a) demote or reject, b promote to Review or to publish.  The center will show what stage it is in.  As the element goes through each cycle, the number of times it goes through is shown to the right of this.  (4) means that this element has gone through 4 stages.  
  8. Publish - publish this element
  9. Swap - swap this element with the current live version
  10. Edit - If this is an element you will get the pencil (edit element) icon, if this is a page, you will get the page (edit page) icon.
  11. Show Log (really this is the History/Undo from the list action icons).  
  12. Preview if one is available. 
  13. Element = content element, Page = page.
  14. Do - here you can do the same action on multiple items but not the whole workspace.
    1. Publish
    2. Swap
    3. Release - I'm trying to find out what this means, at the moment, I can't see any perceptible difference to the element when I use it.
    4. Stage:Reject
    5. Stage:Editing
    6. Stage:Review
    7. Stage:Publish
    8. Flush (Delete)

  3. Publish workspace - PROCEED WITH CAUTION - this will publish EVERYTHING in the workspace manager.
  4. Swap workspace - PROCEED WITH CAUTION -this will swap out EVERYTHING in the workspace manager Live <> Draft. 
  5. Generate Workspace Preview Link - This apparently doesn't work or I don't understand it.  Or it's entirely possible it does work and I don't understand it.  You can click it if you wish but the preview link will show Creighton University home page.   I can't find English documentation on this.  It's beyond me how they would have generated one link for everything in the workspace anyway  so for now, ignore it, it doesn't work.

  19. If the element has sub elements it is indicated here.  You can click on the "[sub elements, click for details]".  See below for more.

Sub elements

If you have a page with content that exists in Draft but not in live, or if that page has a branch (a draft version of itself plus subpages), then it's a sub element.  This won't be shown in the workspace but will be indicated by a [Sub elements] under the live version and a [Sub elements, click for details] under the workspace version.

  3. Differences
    • Fieldname, Text, Header, etc.
    • Colored diff-view:  Green = current text, Red = replaced text (this is in theory, I tried changing and deleting and all it showed was the current green text).  If there are no differences it will alert you with "Complete match on editable fields".
