Requesting Custom Reports
RELATED POLICY STATEMENT(S):
July 1, 1993
Periodically, departments may identify what they believe to be needs for additional printed reports and/or screens ("forms") that would provide them with additional management information. This procedure is designed to aid departments in obtaining the information they need to effectively manage their operations.
Whenever a department believes there is a need for a new printed report or financial system computer screen, they should contact the General Accounting and Payroll Manager to discuss the specifics of their requirement. The Controller's Office staff will initially evaluate whether or not there are existing alternative sources for the information that may not be familiar to the department.
If the Controller's Office staff determines a new report is appropriate, they will meet with appropriate departmental personnel to thoroughly review the reporting requirements, discuss any calculations required within the report, and develop a preliminary format for the report. It will then be the Controller's Office's responsibility to coordinate with Information Technology, if necessary, for the completion of the report, while keeping departmental personnel apprised of progress on the project.
Although modifications to the screens in the purchased software package will not be made, the Controller's Office will work with the appropriate departmental personnel and Information Technology to identify alternative ways to obtain the required information.
Please do not contact the Information Technology Department directly to request custom reporting from the financial system. The Controller's Office will coordinate all needed changes.
