Procedure in Order to Receive Funding from the Sponsorship Fund
Inter Residence Hall Government Sponsorship Monies
Inter Residence Hall Government (IRHG) has a sponsorship account designed to be a resource to students and organizations affiliated with the residents and the residence halls. As outlined in the IRHG constitution, a bill must be written requesting such funding. Any funding for organizations not directly relating to IRHG shall not exceed $300 per organization. Organizations that are directly relating to IRHG are not subject to dollar amount restrictions. For further questions please refer to the IRHG Constitutional Bylaws Article IV Section 4.
Sponsorship Funding Request Time Line
All items of legislation, including funding requests, need to be submitted to the IRHG Executive Board one week prior to the legislation’s appearance on the IRHG General Assembly agenda. The IRHG Executive Board meets on Fridays at 2:30 PM. All legislation shall be reviewed by the IRHG Executive Board. This review process is a check that the proposed legislation contains all required legislation sections (see next paragraph). Following the review, the IRHG Executive board will meet with the sponsor(s) of the proposed legislation and outline any concerns with the proposed legislation and serve as a resource for the sponsor(s). If the legislation is approved by the Executive Board it will appear on the next IRHG General Assembly agenda. At the IRHG General Assembly meeting, the proposed legislation sponsor(s) will explain the legislation and answer any questions from the IRHG General Assembly members. Following questions, the IRHG General Assembly will enter into discussion. The legislation will then be tabled until the next week. At the next meeting, an oral vote will be taken from all the General Assembly members eligible to vote. Legislation passed by the General Assembly is then sent onto the IRHG Executive Board for final review. For further questions please refer to the IRHG Constitutional Bylaws Article IV Section 2.
Funding Request Check List
The following items should accompany any piece of legislation requesting funds from the IRHG Sponsorship Account
• Legislation must be submitted to the IRHG Executive Board one week prior to its appearance on the IRHG General Assembly agenda. The IRHG Executive Board meets on (MTG TIME TBD)
• Legislation must have the appropriate legislation number. This number can be obtained from the IRHG VP of Administration.
• Legislation must have the names of the sponsor(s) and date of the proposed legislation.
• The purpose of the legislation must be clearly stated.
• A detailed description of the use of funds must be included. In the case of programming, please include whether or not it is a new program. In the event of a previously established program, please include how many years it has been established, the success of the program, how many attended in previous years, and whether or not it was specifically for Creighton students or if it was open to other participants.
• The legislation must be accompanied with the Sponsorship Funding Request Information Form. (See below)
• The legislation must be accompanied by an itemized budget listing the projected expenses, and any potential sources of funding outside of IRHG sponsorship (including fundraising). Please note which items on the expenses report are funded by which source of funding.
• Any detail about your organization that may be pertinent to the merit of your
legislation may also be submitted.
Stipulations of IRHG Sponsorship Funding
Any amount that is approved is conditional on the occurrence of the event. If the actual costs of the budgeted items are less than what was presented in the legislation, the remaining balance will be returned to the IRHG Sponsorship Fund. No additional funds will be awarded of the presented budget is under actual expenses. All receipts, invoices, and other records of purchases must be submitted to the IRHG VP of Finance within 30 days of the event date. All events and programs that receive IRHG Sponsorship Funding shall recognize IRHG on all the associated publicity and advertisements.
